Set up procuris
Create your organization, check the suggestions from your website, create your first saved search and move to the new version as an existing customer.
After your first sign-in, procuris guides you through the setup. At the end you have your organization, a prepared Company profile and your first saved search, a search that keeps running every morning. You need an account with a confirmed email address (Getting started). A website helps, but you do not need one.
Scope and duration
The setup has 13 or 14 steps. If you choose No experience with tenders, you do not get the question about previous awards and have 13. This does not apply if you chose Rather estimate than count on that question before. It then stays as a question about how confident you feel with the tender process, and you have 14. At the top you see the chapter with your position in it, for example "Your company 1/2". The ring next to it shows the progress of the whole setup. Two interim screens do not count, and neither do the up to seven optional profile questions, which only come if you accept them.
procuris does not state a fixed duration, because it depends on your answers. You answer most questions with one click on a given answer. Three places take time: the register details of your company, the description of your business in two to five sentences, and the optional questions. With a website, procuris prefills many fields, and you check instead of typing.
An existing team with your email domain can change the first screen. If it shows "Your team is already here", ask to join with Request to join instead of setting up an organization of your own. What happens next is described under Organization and access.
Steps
Each step below carries the heading of the screen or, for several questions in a row, the name of the chapter.
Create your organization (chapter "Your company"). Enter the name under Organization name, at least two characters. Enter your address under Website and click Read website, or press Enter in the field. Check the Address. The Country decides where your first search runs and which portals it reads. You can choose Germany, Austria and Switzerland. Without a choice, procuris searches in Germany. Click Continue.
Contact person. Name and phone are then kept on your account. The phone number needs the country code, for example +49 30 1234567. From the Position in the company, procuris creates your employee profile, provided you entered first and last name under Name. With only one word, no employee profile is created.
Four questions about your company (chapter "About you"): experience with tenders, previous awards, what you want to achieve first and who prepares the bids at your company. These questions have no Skip.
Three questions about the first search (chapter "Your first search"). Choose up to five sectors. The sectors follow the CPV, the EU-wide classification of what a contract covers. After that, procuris asks about the contract sizes you are interested in and the number of your employees. You can skip each of these three questions. On the right, procuris counts how many tenders with an open deadline match your answers.
Your first search is live, followed by the chapter "Company profile". This interim screen announces the morning email. The saved search does not exist at this point yet. procuris only creates it with Finish setup at the end. Complete your profile opens Standard declaration and Company & register. There you confirm the statements of the declaration and check legal form, register type, register number and register court. Continue saves, Do this later leads to the certificates without these details. Maybe later on the interim screen skips profile, certificates and optional questions and leads straight to step 8.
Which certificates does your company hold? Tick what is currently valid and click Continue. You add validity dates and proof documents later.
Want to sharpen your company profile? Complete my profile starts up to seven questions, one per screen: reference project, public liability insurance, a person from your team, revenue, subcontractors and bidding consortia, prequalification, trade association. Each question has Skip this question. Do this later leads to the next step.
Add keywords for sharper matches (chapter "Your daily feed"). Your sectors are shown here as an overview. Keywords are optional. Under What your company does, describe in two to five sentences what you offer, for whom and what you do not take on, at least 40 characters. With Pro, procuris measures new tenders against this description (Fit). In Free, it stays saved and takes effect as soon as your plan includes Fit. With Finish setup in the next step, procuris also stores the description in your company profile. Click Continue.
Notification preferences. At the top you see the switch Enable email notifications and, while it is on, the Notification frequency below it with Daily digest and Weekly digest. If you turn off Enable email notifications and finish with Finish setup, procuris unsubscribes you from every mail that can be unsubscribed from, including the email of your saved search. Messages about billing and your contract keep coming. If the switch stays on, procuris changes nothing. The Notification frequency does not change the email of your saved search, which arrives every morning while the saved search is running. You can change your choice at any time under Settings › Notifications (Settings). If saving fails, procuris shows "Your choice about email notifications was not saved. You can change it under Settings, Notifications." Leave the tick at Automatically create a search profile from my preferences and click Finish setup. Only now does procuris create the saved search.
Setup complete! Click Go to Dashboard. You land in the feed, and the product tour begins.
What procuris takes from your website
Read website prefills empty fields of the setup. To do so, procuris reads the home page, legal notice, contact, about us, services, references and certificates, as far as your website has such pages. On the right you see which page is being read and what has been found. Reading usually takes less than a minute, and you can keep working in the meantime. What only arrives afterwards still lands in the following steps and in the profile.

procuris only suggests the position Geschäftsführung if the legal notice names you with your account name. The preview on the right shows references from your website, but they are not taken over. You enter a reference project in the optional questions in step 7 or later under References.
Check and change suggestions
Suggested fields carry the AI mark. Below it is the page the value comes from, for example "Taken from your-company.com/impressum, please check."
Change a wrong field directly on the screen. With your first change, the mark disappears. Read website does not overwrite what you entered or changed yourself. After the setup, you change the details in the places from the table above. The page Settings describes how to reach Settings.
Without a website or if it cannot be read
Without a website, you enter the same details yourself. None of them is required. If procuris cannot read your website, the field shows "Website could not be read, you can enter everything yourself." If your website forbids automated reading through the robots.txt file (a website uses it to control who may read it automatically), procuris respects that and says so below the field. After several addresses have been read, procuris accepts no further address for your account. The address you entered is still saved as the website of your organization.
Pause, go back, skip
procuris saves your answers continuously once you have clicked Continue on the first screen, because that is where your organization is created. If you then close the window or choose Sign Out at the top, the setup continues at the same point the next time you sign in. There is no separate button to cancel.
Back leads to the previous screen, with two exceptions. You cannot return to the first screen after Continue, and you change the organization name afterwards under Settings › Organization. From the contact person screen there is no way back.
Skip setup appears on the last two screens and works differently on each. On Add keywords for sharper matches it leads, like Continue, to the Notification preferences, and your entries stay. There, Finish setup still starts the saved search and the product tour. On the Notification preferences screen itself, Skip setup ends the setup without a saved search and without a product tour. procuris still takes your business description into the Activity description field of your company profile, provided you entered one. In that case, you create a saved search yourself under Searches and enter the description there under What your company does, because every saved search keeps its own (Saved searches). Choose Finish setup on the notification preferences if you want the saved search and the product tour.
Skipped questions come back. In the sidebar, Getting started lists open details such as reference, liability insurance or prequalification. Next to each, you see how much it adds to the completeness of the profile. Hover over an item, and a window explains what it counts for. What exists after the setup
After Finish setup, procuris contains:
- Your organization with name, website, logo and postal address.
- A company profile with everything you confirmed or entered, including the certificates you chose. Your business description sits there in the Activity description field. A change in that field changes no saved search, because every saved search keeps its own description.
- An employee profile for you, if you entered a position and first and last name.
- Your first saved search, if the tick for the first search is set and you entered at least one sector, one keyword or a business description. A saved search based only on the business description, without sector and keyword, searches with Profile only (Saved searches). It needs a plan with Fit, which means Pro or the Pro trial. In Free, it is then not created. procuris runs the saved search once directly after you finish, then every morning, and sends the hits by email.
The name of the saved search is your first keyword. Without a keyword, it is the first five words of the business description. If you only chose sectors, it is called "My first search", in the German interface "Meine erste Suche". You change the name under Searches (Saved searches).
The setup itself does not create a card. The Pipeline shows your tenders in progress as a board with columns and cards. The first card is usually created in the product tour: at the station "One tender onto the board", Next puts the named tender as a card into the default column of the Pipeline. If you have not changed the columns, that is In Prüfung. It is usually the best hit of your first saved search. If you end the tour before that, no card is created. Without the tour or without a saved search, you create the first card yourself with Add to pipeline in the feed (Pipeline).
Re-entry for existing customers
If your organization used procuris before the new version, you create nothing new. Your organization, your profile and your saved searches stay. The person with the Owner role goes through the setup once. The other members keep working without a setup.
After the switch, procuris greets you on every visit with Welcome to the new version of Procuris until you choose Set up the new Procuris. Below it, it says that your saved searches stay. Click Set up the new Procuris.
Your company. Enter your website and check the address. This screen does not ask for the organization name. Read website only fills fields that are still empty. What you entered before stays as it is.
The same screens as above follow, from the contact person on. Your previous details are filled in. Certificates you tick here are added to the existing ones, none is removed. The interim screen before the company profile is called Your details are saved here and says: "Your existing searches keep running as before."
Your saved searches. If your organization has saved searches, this screen replaces the first search and the notification preferences. It lists your existing saved searches. Your notifications stay as they are, and you change them under Settings › Notifications. Below them, under What your company does, describe what your company does. Every saved search without a description of its own takes it over, a saved search with its own description keeps it. Click Finish setup.
Welcome back! Click Go to Dashboard. The product tour begins, and in its second leg it shows your newest saved search.
The re-entry creates no new saved search as long as your organization has saved searches. If it has none, the step runs as for a new organization, with a first search and notification preferences.
On the Free plan you get 7 days of Pro free of charge with the re-entry, no payment card needed. The first screen says so. After that your organization moves back to Free by itself, and nothing is charged. With a paid plan you keep your plan, and the notice is missing. What Pro includes is under Plans.
If you open procuris through a link straight to a page of the app, the greeting can also appear as a window over the app, with a film of under one minute. If you close the window without choosing Set up the new Procuris, it appears again on the next visit until the re-entry is complete. If procuris shows "That did not work. Please try again.", click Set up the new Procuris again.
